Privacy policy

Workroom is a private workspace run by the studio that runs this Workroom ("we") for reviewing videos with clients and organising the work of a video team. This page explains what information the service handles and why.

What we collect

  • Team accounts. Name, email address, role and, when you sign in with Google, your Google profile photo. We also keep the times you sign in.
  • Work you add. Tasks, deadlines, comments, drawings and voice notes on videos, chat messages, briefs, contracts, invoices and the files you upload.
  • Clients on review links. The name a client types next to a comment, and what they write, draw or record. Clients don't need an account.
  • Technical data. A sign-in cookie that keeps you logged in, and short-lived counters that limit how fast comments and logins can be sent, to stop abuse.

How we use Google data

  • Google sign-in (name, email, profile photo) is used only to check that you have access and to show your photo to your team.
  • Google Drive stores the videos and files you upload. Workroom asks only for the drive.file permission, so it can see and manage only the files and folders it created. It cannot read anything else in your Drive.
  • Google Sheets, if the admin connects one, receives a copy of the task list (task, client, project, dates and status). The app writes only to that spreadsheet.

Workroom's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only to provide the features described here. It is not sold, not used for advertising and not used to train AI models.

Where it is stored

Records such as tasks, comments and accounts are kept in a Supabase database. Files are kept in the studio's Google Drive. The app runs on Vercel. These providers process data only to run the service for us.

Optional AI features

If the admin turns on Intelligence, the questions you ask and the review comments you choose to summarise are sent to Anthropic's Claude API to produce an answer. This happens only when someone uses those features.

Sharing

We don't sell personal information or share it for advertising. Review links show a video and its comments to anyone who has the link, so share them only with the people who should see them.

Keeping and deleting data

Data stays while the workspace uses it. An admin can delete videos, comments, tasks and accounts at any time. Deleted files go to the Drive trash. You can remove Workroom's access to your Google account at myaccount.google.com/permissions.

Your choices

You can ask to see, correct or delete the information about you. Contact the admin of your workspace.

Changes

If this policy changes, the date at the top will change too.
